  • Participate in post-trip feedback surveys

The personal data we collect in these circumstances may include your name, email address, postal address, telephone number, date of birth, passport details, emergency contact details, dietary requirements, and medical information.

When you visit our website, we may automatically collect technical data including your IP address, browser type, operating system, the pages you visit, and the time and date of your visit. 2.3 Information from third parties

We may receive information about you from third-party platforms such as Meta (Facebook, Instagram and WhatsApp) where you interact with our advertising, or from our quiz and form-building platforms. We will handle any such information in accordance with this Privacy Statement.

3. How We Use Your Personal Data

We use your personal data for the following purposes and on the following lawful bases:

  • To process and manage your expedition booking (lawful basis: performance of a contract)
  • To communicate with you about your booking, including pre-departure information, safety documentation, and trip updates (lawful basis: performance of a contract)
  • To send you marketing emails, newsletters, and promotional content, where you have given your consent or where we have a legitimate interest in doing so as an existing customer (lawful basis: consent or legitimate interests)
  • To process payments and manage our financial records (lawful basis: performance of a contract and legal obligation)
  • To comply with our legal obligations, including health and safety requirements (lawful basis: legal obligation)
  • To improve our website, services, and marketing through analytics and feedback (lawful basis: legitimate interests)
  • To respond to enquiries and provide customer support (lawful basis: legitimate interests)

4. Marketing Communications

We will only send you marketing emails or newsletters where you have given your consent to receive them, or where you are an existing customer and we are marketing similar services to those you have previously purchased from us.

Please note that opting out of marketing communications will not affect communications that are necessary to service your existing booking.

  • Third-party service providers who assist in delivering your expedition (including local guides, instructors, accommodation providers, and transport operators), but only to the extent necessary for delivery of your trip

  • Our payment processors (Stripe and Flywire) for the purpose of processing transactions
  • Our website analytics provider (Google Analytics) for the purpose of understanding website usage
  • Professional advisors including accountants and legal advisers, where required
  • Law enforcement agencies, government bodies, or courts where we are legally required to do so

All third-party service providers are contractually required to handle your data securely and in accordance with applicable data protection law.

6. International Data Transfers

Some of our third-party service providers are based outside the United Kingdom. In particular, our email platform (ActiveCampaign) is based in the United States. Where we transfer personal data outside the UK, we ensure that appropriate safeguards are in place in accordance with UK GDPR requirements, including the use of Standard Contractual Clauses or reliance on adequacy decisions where applicable.

  • Booking and financial records are retained for 7 years following the completion of your expedition, in line with our legal and accounting obligations
  • Medical disclosure information is retained for the duration of your booking and deleted within 12 months of your expedition completion date
  • Marketing contact data is retained until you withdraw your consent or request erasure
  • Website analytics data is retained in accordance with the retention settings of our analytics platform

Where there is no ongoing legal or operational reason to retain your data, we will securely delete or anonymise it.

For family expeditions involving participants under the age of 18, we require a responsible adult to provide consent and to complete all booking and medical disclosure documentation on behalf of any minors in the group.
